Every lift and platform AA Herkules rented out left the yard with no reliable record of its condition β€” and came back the same way. Disputes over scratched hydraulics or damaged platforms turned into he-said-she-said arguments between drivers and clients, decided on memory instead of evidence. Managers had no live view of where equipment was, who delivered it, or who was accountable when something went wrong. Paper checklists got lost, backdated, or skipped entirely under time pressure. The business was scaling its rental volume, but its proof of equipment condition β€” the thing that actually protects margin in a dispute β€” hadn't scaled at all.

We approached this as an infrastructure problem, not just an app request: AA Herkules needed a verifiable chain of custody for every piece of equipment, built to survive a one-month deadline.

  1. Audit & Loss Identification: We mapped every point where manual, paper-based inspection created risk β€” untracked handoffs, unverifiable condition claims, no audit trail linking equipment to the employee responsible for inspecting it.

  2. API & Secure Photo Pipeline: We built an API allowing the mobile app to upload high-resolution, metadata-tagged photos (rental ID, timestamp, equipment type, inspecting employee) directly into encrypted, cloud-based storage, with authorization checks to block unauthorized uploads.

  3. Control Panel & Automated Standards: A React.js/Node.js manager control panel was built on top of the API, giving real-time visibility into deliveries, returns, before/after condition photos, and discrepancy alerts β€” running as a modular build track in parallel with the API and mobile app to hit the one-month deadline.

Results

Delivered on schedule, the system replaced paper trails with a verifiable digital record for every rental. Managers gained real-time visibility into equipment location, condition, and staff accountability instead of chasing paperwork after the fact. Disputes over equipment condition dropped, since every rental now carries timestamped photo evidence tied to a named inspector. Employees traded manual forms for a single mobile capture step β€” turning a process that used to eat time and create liability into one that runs itself.
